As part of a five year (5) Campaign Goal to reach unprecedented heights in our Institutional Advancement Division, we are conducting a search for a Donor Relations Coordinator.
The Donor Relations Coordinator will support the implementation of the College’s Donor Relations/ Stewardship Program. The Coordinator will be responsible for managing the scholarship program, a comprehensive database, provide acknowledgments/correspondence for the Director and Vice President for College Relations and Development, as well as project coordination and administrative operations for the Office of Donor Relations/Stewardship as assigned by the Director.
Essential Duties and Responsibilities include but are not limited to the following:
Maintain a comprehensive scholarship database, including ongoing database updates.
Assist in the development and preparation of the annual scholarship and endowment fund reports for scholarship donors/contacts.
Provide endowment, scholarship and other specific segment (e.g., Museum, Women’s Center, Music, etc.) reports to donors and fundraisers.
Create and maintain complete and up-to-date files on all scholarships.
Coordinate and facilitate the student thank you letter writing project, including: coordinating the thank you writing sessions, handling the logistical matters, and managing and supervising the students involved in the project.
Manage the gift acknowledgment process and produce gift and pledge acknowledgment letters. Prepare reports for specific segments in addition to reporting on endowments.
Facilitate all stewardship mailings, including mailing token gifts to donors, entering information for merging and printing documents, assembling documents and materials, copying, addressing, and mailing.
Assist with the final production of stewardship materials and publications (ex. Honor rolls, scholarship agreements, website content).
Assist with planning, coordinating, and implementation of events such as the Scholarship Luncheon, the Donor Appreciation Reception and other stewardship initiatives. Provide primary support for programs and events which includes but is not limited to managing office operations; answering phone; handling incoming and outgoing mail, correspondence and invitations; planning and managing large and small mailings; maintaining R.S.V.P. lists for events; ordering and maintaining supplies, materials and equipment; arranging local and out-of-state travel; scheduling meetings and events on and off campus; producing a variety of reports from internal databases; processing departmental invoices, drafting and producing thank you notes, letters and reports; proofreading documents; and taking minutes at meetings, as necessary. Organize details and logistics for internal and external event participants, including invitations and confirmations, travel and lodging arrangements, and program scripts.
Correspond with donors and potential donors as needed.
Other duties as assigned.

Requirements:

Our ideal candidate profile will include: Bachelor's degree with a minimum of three years of directly related professional experience or equivalent combination of education and experience are required.
Excellent oral and written communications skills, attention to detail, and organizational skills are required. Must possess the ability to handle multiple projects concurrently, make sound decisions and exercise independent judgment. Experience with coordinating projects is preferred. Strong interpersonal skills and the ability to interact effectively with a wide range of individuals and constituents required.
Must have the ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Must also have the ability to develop routine reports and compose correspondence.
Must have the ability to perform advanced skills using Microsoft Office Suite (Word, Excel, and Power Point). In addition to producing correspondence, duties involve assignments that require creating brochures, tables, newsletters, and graphs.
Excellent record maintenance and database management skills are required. Knowledge of Crystal reporting, a plus.
